1. Who we are
pickupickup operates the booking platform at www.pickupickup.com and is the data controller for personal data processed through it. Contact: support@pickupickup.com.
2. Data we collect
Booking data: name, email, phone number, pickup and drop-off addresses, date and time, flight number and terminal, passenger and luggage counts, vehicle class, notes to the driver, booking reference and status.
Account data: email, password hash (managed by our authentication provider), display name, booking history and preferences.
Payment data: amount, currency, payment status and a transaction reference. Card details are entered directly with our PCI-DSS compliant payment processor and are never stored on our systems.
Partner application data: name, contact details, company and vehicle details, city and country, driving licence, vehicle registration, insurance and other documents, profile and vehicle photos, and their expiry dates.
Technical data: IP address, device and browser type, language, pages visited and approximate location derived from IP, collected through logs and cookies.
3. Why we process it, and our legal bases
Performance of a contract: creating, confirming, dispatching and supporting your booking; processing payments, cancellations and refunds; operating partner accounts.
Legitimate interests: fraud prevention and platform security, service quality and complaint handling, verification of partner documents, aggregated analytics and service improvement.
Legal obligation: accounting, tax, and responses to lawful requests from authorities.
Consent: marketing emails and non-essential cookies, which you may withdraw at any time.
4. Who we share data with
Transport partners. To perform your transfer we share your name, phone number, pickup and drop-off details, flight information, passenger and luggage counts and notes with the assigned partner and driver. Contact details are disclosed only after a partner has accepted the job. Partners act as independent controllers for their own use of that data and are contractually required to use it solely to carry out the transfer.
Service providers (processors): cloud hosting and database, email delivery, payment processing, mapping and routing, flight-status data, and analytics providers — each bound by confidentiality and data-processing terms.
Authorities: where required by law, or to establish, exercise or defend legal claims.
We do not sell personal data and do not share it for third-party advertising.
5. International transfers
Because we operate across many destinations, your data may be transferred to recipients outside your country, including outside the EEA — in particular to the partner performing your transfer in your destination country. Such transfers rely on adequacy decisions, Standard Contractual Clauses, or the necessity of the transfer to perform your booking.
6. Retention
Booking and financial records are kept for up to 10 years to meet accounting and tax obligations. Account data is kept while your account is active and deleted or anonymised after a period of inactivity. Partner documents are kept for the duration of the partnership plus statutory retention. Technical logs are kept for up to 12 months.
7. Security
We apply encryption in transit, access control, role-based permissions, row-level database security, signed time-limited links for uploaded documents and regular security reviews. No system can be guaranteed completely secure; you are responsible for keeping your account credentials confidential.
8. Your rights
Subject to applicable law you may request access, correction, deletion, restriction or portability of your data, object to processing based on legitimate interests, and withdraw consent. Write to support@pickupickup.com and we will respond within the statutory period. You may also lodge a complaint with your local data protection authority.
9. Cookies
We use essential cookies for sign-in, security and language preference, and optional analytics cookies to understand how the site is used. You can control cookies via your browser settings; disabling essential cookies may prevent booking.
10. Children
The Platform is not intended for children under 16. Minors may travel only when booked for and accompanied by a responsible adult.
